Data Vault Storage:
Many clients now have an increased awareness of the necessity to backup their computer and server to tape, to have a disaster recovery plan, and to have a disciplined remote off-site backup solution for your office computers and servers.
If you are not storing your off-site computer backup tape in the proper environment, recovery of your business is at risk in the event of a disaster. Recently, insurance company inquiries relating to disaster recovery plans concentrated on the proper storage and retrieval of computer backup media. Leaving the backup tapes in the computer overnight, taking the tape home in a purse or briefcase, or any other method that does not include a proper, secure environment, is unacceptable – and more importantly dangerous.
The Richards & Richards DataVault is separately located in a former bank vault which is climate-controlled to media specifications and has an FM-200 fire suppression system. We offer 24 hour, seven day-a-week access, specially designed delivery vehicles with state-of-the-art Global Positioning Systems (GPS), security, communication systems, bar coding technology and a storage methodology that keeps your media organized, accessible and protected. We have the ability to develop a personalized plan and rotation schedule to accommodate your unique requirements.
Electronic Vaulting
Electronic vaulting, or online backup is a secure, reliable, disciplined method by which a company’s mission critical data is backed up via the Internet or dedicated transmission line to a remote server in a highly secure regional data center.Amerivault.com is the national portal for Richards & Richards/Amerivault. Utilizing industry-leading software, Richards & Richards/Amerivault's service recognizes and captures changes to files since the last backup session, strips out only the changes from the files (at the block level), encrypts the data for enhanced security, and compresses it to minimize transmission time. The encrypted data is then sent over the Internet or private telecommunication lines to highly secure offsite regional data center.
Customers schedule automated, unattended backup sessions according to their own needs. Since the only segments of the data that are sent are the portions that have changed since the last backup, even in the highly unlikely event of someone being able to break into the code, they would find a few unintelligible bits of data – as opposed to an entire file, which is the common occurrence with tape backup.
You push the data to us so we don't see it nor can we manipulate it in any way. You have the only software key. It is secure since you can choose encryption prior to pushing the data to our vault. It is compressed prior to sending the data, typically 2 to 1, unless you have image files, which do not compress. We support open files with Open File Manager software. You get an e-mail daily telling you your files were successfully backed up and the listings of your files.
Retrievals can be accomplished online, realtime from the customer’s place of business or remotely. Additionally, Amerivault offers recovery site service, providing space for client-owned file servers at the Amerivault data canter to insure timely business resumption in the event a client suffers sustained computer-system outage.
Your invoice is based on compressed amount of data, and what is stored on our vault in terms of gigabytes, at the end of a month. There is no maximum number of gigabytes you are allowed to store. You can control the cost by not backing up your operating system or application shell and by backing up only your mission critical files and controlling your own retention schedule.

Our Facility
The internal security system at Richards & Richards is monitored by ADS Security and Control on a 24 hour basis for both perimeter and fire protection. ADS is Nashville’s only UL listed security company. We utilize motion, sound, infrared, door strikes, glass breaks, beams and other options by our security company.Delivery
Our drivers will only deliver to client employees that are listed on our security list. Additionally, we will not deliver to empty offices. In the event that no one is available at the client office, we will not deliver the item.
Full Access
Any one whose name is listed on the Full Access will be able to order any and all services. They can also add or delete names on the any security list.
Limited Access
Any one whose name is on this list will only be able to sign for as receiving or pick up (at the records center) items for someone listed on the Full Access list. They are not authorized to call and request any services.
Destruction
Any one whose name is listed here is authorized to order the destruction of any records. If multiple names are included, we will need to know if all names will need to be included or will anyone be allowed to individually authorize destruction.
GPS
Each Richards & Richards delivery vehicle has a GPS (Global Positioning System) unit that will identify detailed information about each vehicle. Information such as where the van has been, how fast the van is moving, what time the van arrives at a destination, and how long the van stays at the destination, and several other options available through this technology. It is our intention to verify each delivery and monitor the activity of each delivery throughout the day. In the event of an emergency, we will know exactly where all equipment is.
